Dubsado vs HoneyBook for Maternity Photographers

A maternity client books against a due date, not a date on the calendar, and often comes back for the newborn session a few weeks later. Here is how each CRM handles that holding-pattern booking, multi-session workflows and repeat clients, with pricing verified against both vendors.

Dubsado pricing last confirmed September 17, 2026. HoneyBook pricing last confirmed September 17, 2026 (cross-checked across multiple independent sources, direct fetch still returns HTTP 403).

Most photography niches book a fixed session date the moment a client pays a deposit. Maternity doesn't: you book a due-date window, then wait for the client to confirm an actual shoot date once she's far enough along, and a lot of maternity photographers also shoot the newborn session for the same client a few weeks after delivery. That means the CRM has to hold a project in a waiting pattern with no confirmed date, then pick the automation back up once one exists, and ideally remember who this client is when she books again for the newborn. A working family and maternity photographer who runs her business on Dubsado describes exactly this need: "a form for everything," pre-session questionnaires built per session type, and workflows that let the business "run smooth without me hovering over it 24 hours a day." The CRM question that matters most here is which tool handles that no-fixed-date holding pattern and the maternity-to-newborn handoff with the least manual babysitting.

Workflow trigger when there's no session date yetFlow triggers can count from when the flow itself starts, manually applied or fired by a lead-capture form, rather than only from a project date, so a maternity project can sit in a form-submission-triggered holding workflow until you manually move it once a shoot date is confirmedAutomations trigger on events like a questionnaire being completed or a project stage changing, and can remind a client that "the project will begin soon"; the reminder logic assumes a project start date exists rather than a due-date window still being tracked toward one

Where they actually differ for a maternity photographer

Dubsado's flow triggers are built to start from a form submission, not a project date, which fits a due-date booking better. A workflow can begin the moment someone submits your maternity inquiry form and run its early steps, questionnaire, contract, invoice, on that trigger, then wait on a manual step until you confirm an actual shoot date once she's close enough to term. HoneyBook's automations can react to a questionnaire being completed or a stage changing, and will remind a client the project is "starting soon," but that reminder logic is written around a project that already has a start date, which a maternity booking often doesn't have yet at intake.

Dubsado's custom fields carry a due date and preferences into the client's permanent record, HoneyBook's smart fields stay inside one project. A working family and maternity photographer's account of running Dubsado describes a pre-session questionnaire for each session type that feeds the client's file directly, so a wardrobe note or a due date from the maternity intake is already there if the same client books the newborn session weeks later. HoneyBook's smart fields do the equivalent job inside a single project, pulling a questionnaire answer into that project's own contract or invoice, but scoped to the project rather than the client, so a repeat newborn booking starts its questionnaire from empty.

Both route multiple session types from one intake form, differently. Dubsado connects a lead capture form straight to a specific workflow, so a dropdown for maternity, newborn or family can fire three different automations from one form. HoneyBook does the equivalent with pipeline stages and Smart File templates, bundling the contract, invoice and questionnaire for one session type into a single automation step. Neither is a reason to pick one tool over the other on its own; both need the dropdown or stage actually built before your first inquiry, not left as the default single workflow.

HoneyBook still wins on letting the client choose her own payment schedule. A maternity session runs from a few hundred dollars to well over a thousand once a newborn add-on is bundled in, and HoneyBook's client-chosen payment plan means she isn't stuck with whatever installment schedule you built. Dubsado's payment plans are equally capable, fixed or open due dates, equal or custom splits, autopay enrollment, but you set the schedule first; she opts into it rather than shaping it.
